In CMS-Gold the members of your congregation are organized by
families. Once you have set up your families (one or more) with
the "Family Processing" described above, you are ready to add
members. The chapters in this section provide the basics you need
to use members.
You must add a member thru the Family Processing screen. Begin
with "Family Processing" and follow the steps; press <Esc> as
often as necessary to return to the Main Menu. At the Main Menu,
select "Family Processing" by typing <F> and then pressing
<Enter>. The first time you use CMS-Gold, no members exist yet.
When CMS-Gold doesn't find any members, you see the following
message:

Follow the instructions in the next chapter to set up your first
family member.
Setting Up Your First Member
----------------------------
It is just as easy to set up your first member as it was to set up
your first CMS-Gold family. Assuming you see this window
displayed:

Press <Y> to add a member to a family now. Don't worry if you
don't have all the correct information for this member now you can
always come back later and change it. We will later show you how.
If you press <N> instead you will be returned to the previous
Menu. The next screen shows the "Add a New Member" screen.
Here you enter all the information for the new member to be added.
If you don't want to proceed now, or while you enter the member
information you may just press <Esc> to return to the previous
menu. Any information already typed in on this screen will be
erased.
Family Name: Type the family last name (up to 20 characters long)
and press <Enter> when you are done. Note that this name will
always automatically appear in uppercase letters. Only family
names that have been previously entered with the "Family
Processing" feature can be entered here. If you don't remember
what the family name was or how it was spelled just press the <F2>
function key and a list of families already entered will appear.
Use your cursor keys to select a family and press <Enter>.

Press <Enter> again and the cursor now moves to the next blank:
NOTE: All other blanks on this screen may be filled in upper and
lower case letters.
Last: Enter the last name for the new member (up to 20 characters
long).
First: Enter the first name for the new member (up to 20
characters long).
SubTitle: Enter the sub title for this member, if applicable, e.g.
Junior, or Senior, or 3rd, etc. (up to 6 characters long). For a
picklist of standard sub title descriptions just press the <F2>
function key. These standard choices will be presented:

Title: Enter a title for this member, if applicable, e.g.
President, or Chairman, etc. (up to 10 characters long).

Nick Name: Enter a nick name for this member, if applicable (up

Relationship: Enter a relationship description for this member (up
to 10 characters long). For a picklist of standard relationship
descriptions just press the <F2> function key. These standard
choices will be presented:

Use your cursor keys to select the appropriate description and

SSN: Enter a Social Security Number for this member (up to 9
digits long).
Employer: Enter the name of the employer for the new member, if
applicable (up to 40 characters long).
Occupation: Enter an occupation description for the new member, if
applicable (up to 40 characters long).
Work Phone: Enter the work phone number for the new member. The
blank is formatted to help you enter the area code and number
appropriately.
Marital Status: Enter the Marital Status of the new member (one
character long). For a picklist of standard status descriptions
just press the <F2> function key. These standard choices will be
presented:

Use your cursor keys or press the first letter of the item to
select the appropriate description and press <Enter>.
Sex: Type <F> for female or <M> for male to indicate the sex of
the member, or type <U> for unknown, if you don't know, or don't
care.
Church Status: Here you enter the status for the new member at
your Church. For a picklist of standard status descriptions just
press the <F2> function key. In the "Pick Church Status" window
these standard choices will be presented:

You have three choices to select the appropriate status; use your
cursor keys to select the appropriate description and press
<Enter>, or type in the abbreviation for the desired status, and
press <Enter> when you are done, or press <Ins> to add a new
status to the list. If you press <Ins> the "Add a New Church
Status" screen will be presented. Enter a new Church status code
(two characters long). If the code you typed is already in use by
a previous Church status definition a message window will display:

where xx signifies the status code you just typed in. Press any
key to cause the message to disappear, and enter a code that is
not in use by another definition. Once you entered a unique new
Church status code the cursor will move on to the next blank.
Type <Y> if the new status definition includes Church membership.
Type <N> if it's not a Church member. Type a description for the
new Church status (up to 17 characters long) and press <PgDn> to
save it. When you return to the "Pick Church Status" window,
select the desired code and press <Enter>. The correct Church
status will now appear in the Church status blank.
How Joined: Enter a brief explanation (up to 10 characters long)
how the new member joined the Church.
Envelope: Enter an envelope number (up to 6 digits long), that is
unique to this member.
Shut In: Press <Y> if the new member is shut in or is somehow
unable to leave home, otherwise press <N>.
Needs Visit: Press <Y> if the new member needs to be visited,
otherwise press <N>.
Visit By: Enter the name of the person who should visit this new
member. If you decide that a member of the Church should visit
the new member you can get help in making the proper name
selection. To select from a Church member list; press <F2> to pop
up a window with a list of Church members. Use your cursor keys,
or type in the first few letters of the members name to locate the
member in the list. When you highlighted the name of the selected
member press <Enter> to fill in this information into the "Visit
By" blank.

Visit Date: Again you may pick a date from the calendar via the
<F2> key to schedule the date for the new member to be visited.
Purpose: Enter the purpose for the visit (up to 25 characters
long). If you filled in all 10 spaces in the last blank, or
pressed the <Enter> key while on that blank all the information is
saved and shows on the "Member Processing" screen. (NOTE: You
could have also pressed the <PgDn> key at any time to save the
information entered so far, but it is done automatically after the
last blank.)
There! You have created your first new member in the CMS-Gold
system. If you made any mistakes filling in the information don't
worry. We will show you later how to correct it. (Notice the
options menu at the bottom of the screen. In the next chapters we
will explain these options).
Help (? - Option)
-----------------
Notice the <?>-Help option on the left side of your options menu.
Press the <?> key now and you will see a Help window appear. It
explains all the options available to process members. Use the
<PgDn> and <PgUp> keys to see the next or previous Help screen.
To exit Help press <Esc> and the Help window will disappear again.
Add New Members (A - Option is not available)
----------------------------
You must add a member thru the Family Processing Screen.
FIND A MEMBER (F- OPTION)
-------------------------
The Find option, listed on the options menu, helps you find
specific members by their last name without scrolling through the
entire member list. To find a specific member, press <F> from the
options menu to display the "Find" window.

Note: If the "Find" window already contains information, you can

Type a member's last name, or part of a last name you want to
find. If you don't know the full name, type what you know. For
example JOH will find JOHNSON and JOHANSON. Press <Enter> to
execute the search. CMS-Gold will start the search at the top of
the list. If a match is found the "Member Processing" screen will
be re-positioned so that the member that was found will appear at
the top of the screen. If this is not the member you were looking
for you may use your cursor keys (Up> or <Dn> to scroll the list
to see if there is a name in the list close by that is the member
you were looking for. If no match was found with the "Find"
option a message will be displayed that the specified member was
not found. Press any key and the message will disappear.
Reports on Members (R - Option)
-------------------------------
The Reports option, listed on the Members options menu, lets you
choose reports or labels generation for all the members in CMS-
Gold. Report output can be viewed on the screen, sent to the
printer, or written out to a file. Press <R> to go to the
"Reports Definition Table". You now can choose these options:

Member List
-----------
This report generates an alphabetical listing of all members
stored in the CMS-Gold system. It lists both the family name and
the member's last name. Output may be viewed on the screen, sent
to the printer, or written out to a file. To generate a member
listing use your cursor keys to select "Member List". Press
<Enter> and a "Choices" menu will appear. Make your selection and
follow the instructions on the screen to generate the report.
When the report is done you will be returned to the "Reports
Definition Table".
Church Status Lists
-------------------
This report generates alphabetical listings of all members stored
in the CMS-Gold system according to their membership status. It
lists the family name, last name, first name, and the sub title.
All report output can be viewed on the screen, sent to the
printer, or written out to a file. To generate a member Church
status listing, use your cursor keys to select "Church Status
List". Press <Enter> and a Choices menu will appear. Make your

selection and follow the instructions on the screen to generate
the report. The only difference from the standard report
generation is after you selected the output option a Church status
listing will appear in a window:

Select the Church status on which you would like to report, and
press <Enter>. When this report has been generated you will be
returned to the "Reports Definition Table".
Mailing Labels for All Members
------------------------------
When you want to send letters or statements, or if you want to
send a mass mailing to all the members in CMS-Gold this choice
lets you generate the mailing label for all the members.
View All Member Mailing Labels on the Screen
--------------------------------------------
To view mailing labels for all members use your cursor keys to
select "Member Mailing Labels". Press <Enter> and the standard
"Choices" output menu will appear. If you press <Esc> no label
will be generated and you will be returned to the "Reports
Definition Table" screen. Follow the instructions on the screen
to preview the mailing labels. After pressing <Esc> from the
"View Report" window you will be returned to the "Reports
Definition Table" screen.
Print All Member Mailing Labels on the Printer
----------------------------------------------
To print mailing labels for all members use your cursor keys to
select "Member Mailing Labels". Press <Enter> and the standard
"Choices" output menu will appear. If you press <Esc> no label
will be generated and you will be returned to the "Reports
Definition Table" screen. Follow the instructions on the screen
to generate the mailing labels. Once all labels have been
generated you will be returned to the "Reports Definition Table"
screen.
Write All Member Mailing Labels to a File
-----------------------------------------
To write all mailing labels for members to a file use your cursor
keys to select "Member Mailing Labels". Press <Enter> and the
standard "Choices" output menu will appear. If you press <Esc> no
label will be generated and you will be returned to the "Reports

Definition Table" screen. Follow the instructions on the screen
to generate the mailing labels. Once all labels have been
generated you will be returned to the "Reports Definition Table"
screen.
Generate a Merge File for All Members
-------------------------------------
To generate a merge file for all members, use your cursor keys to
select "Member Mailing Labels". Press <Enter> and the standard
"Choices" output menu will appear. If you press <Esc> no merge
file will be generated and you will be returned to the "Reports
Definition Table" screen. Follow the instructions on the screen
to generate a merge file. Once all merge records have been
generated you will be returned to the "Reports Definition Table"
screen.
Complete Profile Reports for All Members
----------------------------------------
This report option generates a detailed information sheet for each
member of your Church. These report sheets may be updated by hand
and then you may later update your CMS-Gold system to reflect any
changes or additions. To generate all member profiles, use your
cursor keys to select "All Member Profiles". Press <Enter> and
the standard "Choices" output menu will appear. Make your
selection and follow the instructions on the screen to generate
the report. When this report has been generated you will be
returned to the "Reports Definition Table".
Rolodex Cards (small) for All Members
-------------------------------------
This option generates Rolodex cards for all members of your
Church. To print Rolodex cards for all members, make sure your
printer is ready to print. At the member "Reports Definition
Table" screen select "Rolodex Cards (small) for all members", and
press <Enter>. Follow the instructions on the screen to generate
the cards. Once the Rolodex cards have printed on your printer
you will be returned to the "Reports Definition Table" screen.
Members by Envelope Number
--------------------------
This option generates a report of all members listed in sequence
of their envelope number. All report output can be viewed on the
screen, sent to the printer, or written out to a file. To
generate a member report by envelope number, use your cursor keys
to select "Members by Envelope Number". Press <Enter> and the
standard "Choices" output menu will appear. Make your selection
and follow the instructions on the screen to generate the report.
When this report has been generated you will be returned to the
"Reports Definition Table".

Exit the Reports Definition Table

To return to "Members Processing", press <Esc> to return to the
"Member Processing" screen.
Member Specific Choices (Enter - Option)
----------------------------------------
While the options presented in the options menu affect the list of
members as a whole, it is possible to work with individual members
by choosing the <Enter>-Choices option. To see what options are
available to work with an individual member, move your cursor to
the member you want to work with, or use find to locate that
member on the "Member Processing" screen. Press <Enter> from the
"Member Processing" options menu and the "Choices" menu will
appear.

To exit the "Choices" menu again press <Esc>.
Edit Member
-----------
Choose "Edit Member" if you want to make changes to the
information about a member or if you made mistakes when you added
that member to the member list. To change a member's information,
move your cursor to the member who's information you want to
change, or use the "Find" option to locate that member on the
screen. Press <Enter> to get to the "Choices" menu. Press <E> to
select "Edit Member", and press <Enter>.
The "Edit this member" screen will appear and the cursor will be
positioned at the "Last" (name) blank. Use the <Down-Arrow> or
the <Tab> key to move the cursor to the blank where you want to
make changes or add new information. Type in the new information
where you want it to appear in that blank. When you are done with
that blank move the cursor to the next blank you want to change.

Press <PgDn> when you are done with all the changes to this
member. You will be returned to the "Member Processing" screen
and the changed information will appear there.
Delete Member
-------------
Just as members can be added to the member list they also can be
removed. For example, you discovered after you entered this
member, that you created a duplicate entry. Or this member of a
family has moved away from the Church and you want to remove him
or her from your CMS-Gold program.
To remove a member from a family, move your cursor to the member
you want to remove, or use the "Find" option to locate that member
on the screen. Press <Enter> to get to the "Choices" menu. Press
<D> to select "Delete Member", and press <Enter>. To prevent you
from inadvertently making a mistake and remove the wrong member a
window will be displayed (in our example we will again use the
name Joe Doe):

Press <Y> to confirm the deletion of this member, or press <N> if
you don't want to remove the selected member at this time. If you
pressed <N> you will be returned to the "Member Processing" screen

Member's Organizations
----------------------
This chapter describes how to manage a member's organizations.
You can assign Church members to organizations, change their
membership status in these organizations, or remove them from
organizations. To work with a member's organizations, move your
cursor to the member whose organizations you want to manage, or
use the "Find" option to locate that member on the screen. Press
<Enter> to get to the "Choices" menu. Select "Member's
Organizations" and press <Enter>. A window message will appear:

member currently belongs to (left column) and its membership

If this member never before was assigned to any organization this

Organizations a Member belongs to: you may now choose any of the
following options from the menu at the bottom of the screen; add
this member to an organization, remove this member from an

exit from "Working with Organizations". To add this member to an
organization, press the <Ins> key and a list of possible
organizations to join will appear in a window:

Select the organization your member is to join. If you cannot
find the appropriate organization in the list you can add a new
organization or abandon this process. To add a new organization
to the list press <Ins> while the "Organizations to Join" window
is still displayed. For detailed step by step instructions, see
the chapter "Add New Organizations". Press <Enter> to confirm the
selection of the desired organization. The list of organizations
for this member will be updated and a window prompt will appear:

The date displayed will be the current system date.
To change the date, press <F2> to pop up the calendar and select
the proper date, and press <Enter> press <Enter> to confirm the
date of the member joining that organization. (Note: You also
could have just typed the date instead of using the calendar).
To add this member to other organizations now, repeat the above
steps.
To remove this member from an organization; select the
organization you want to remove this member from, press the <Del>
key, and a window prompt will ask you to confirm the removal:

Press <Y> to confirm the removal, and this organization will

If you don't want to remove this person from the organization,

To change member's status in an organization; select the
organization where you want to change the membership status, press
he <Space-Bar> key to toggle the "Mem" column. A "Y" appearing
in the "Mem" columns means membership in that organization, "N"
means no membership. To exit from "Working with Organizations ":
Press <Esc> to return to the "Member Processing" screen.
Member's SIGs
-------------
This chapter describes how to manage a member's Special Interest
Groups (SIGs). You can assign Church members to SIGs, change their
membership status in these SIGs, or remove them from SIGs. To
work with a member's SIGs: move your cursor to the member whose
SIGs you want to manage, or use the "Find" option to locate that
member on the screen. Press <Enter> to get to the "Choices" menu.
Select "Member's SIGs" and press <Enter>. A window message will
appear:

If this member never before was assigned to any organization this
list will be empty. You may now choose any of the following
options from the menu at the bottom of the screen; add this member
to a SIG, remove this member from a SIG and exit from "Working
with SIGs". To add this member to a SIG; press the <Ins> key and a
list of possible SIGs to join will appear in a window:

Select the SIG your member is to join. If you cannot find the
appropriate SIG in the list you can add a new SIG or abandon this
process. To add a new SIG to the list press <Ins> while the "SIGs

will be updated. To add this member to other SIGs now, repeat the
above steps. To remove this member from a SIG; select the SIG you
want this member removed from. Press the <Del> key, and a window
prompt will ask you to confirm the removal:

Member's Dates
--------------
This chapter describes how to manage important dates for a member,
and how you can fill in or find dates important to a member. To
work with a member's dates; move your cursor to the member whose
dates you want to manage, or use the "Find" option to locate that
member on the screen. Press <Enter> to get to the "Choices" menu.
Select "Member's Dates" and press <Enter>. The dates for this
member will be displayed:

If this is a new member then no dates at all will be filled in
yet. The only entry will be the members birthday without a date.
You may now choose any of the following options from the menu at

more about your options, <A> to Add a new date for this member,
<Enter> to access these additional choices:

<Esc> to Exit from "Dates"
The <F> and <R> options are not available here.
To add a new date for this member press <A> and a picklist of date
categories will appear in a window.

To add more date categories to track in CMS-Gold, see the chapter
"Add New Date Categories". Use your cursor keys to select the date
category you want to add for this member (e.g. Church Membership),

To fill in the proper date; just type in the proper date, or press
<F2> to pop up the calendar, select the appropriate date with the
cursor and <PgUp> and <PgDn> keys, press <Enter> to fill in the

The "Dates" screen will be redisplayed with the new category added
to the list. To edit a member's date; select the date you want to
change with the cursor keys. Press <Enter> to display the
"Choices Menu". To return to the "Dates" screen without editing,
press <Esc>. Press <E> to select "Edit Date", and press <Enter>.

with the cursor and <PgUp> and <PgDn> keys, press <Enter> to fill
in the selected date, and press <Enter> to confirm that selection.
The corrected date will be displayed on the "Dates" screen. To
delete a member's date; select the date you want to delete with
the cursor keys. Press <Enter> to display the "Choices Menu".
Press <D> to select "Delete Date", and press <Enter>. You will
see a window prompt:

Press <Y> to remove this date from the date list for this member.
If you don't want to remove this date, press <N> or <Esc>. The
updated list of dates will be displayed on the "Dates" screen. To
Exit from "Dates" and return to "Member Processing", press <Esc>.
Member's Attendance
-------------------
This option will allow you to change the "A", "P" or "." option on
a member's attendance for a selected date. When you press <Enter>
for the selected member, you will see the cursor on a position
which will relate to the actual date of attendance. As the cursor
moves so will the date change. The starting date will be the
first Sunday of the calendar year or the fiscal year. Make the
change to the status of the date and <PgDn) to accept the changes,
<Esc> will void the change.
Print Profile Report
--------------------
Here you get all the information in CMS-Gold about a member. You
can view this report on the screen, or send it to the printer or a
file. If you want to generate Profile reports for all Church
members at once use the report option from the "Member Processing"
described in the chapter "Complete Profile Report for All
Members".
To generate a members profile report; use your cursor keys to
select the member for whom you want this report from the "Member
Processing" screen. Press <Enter> to display the "Choices Menu".
Select "Print Profile Report", and press <Enter>. The "Report
Output" window will be displayed:

Press <S> to view the report on the screen. Use the <PgUp> and
<PgDn> keys to view the report and press <Esc> when you are done.
Or press <P> to send the report to the printer. Or press <F> to
send the report to a file. Type in the filename for this report,
so you can later retrieve it. If no DOS file extension is
specified CMS-Gold will automatically attach the .TXT extension to
the file.
When you want to send a letter or statement only to one member
these choices let you generate a mailing label for just one
member. Output can be sent to the screen or printer (including
Rolodex card), or written to a file.
View a Label
------------
To view a mailing label for one member, use your cursor keys to
select "Member Mailing Labels". Press <Enter> and the standard
"Choices" output menu will appear. If you press <Esc> no label
will be generated and you will be returned to the "Reports
Definition Table" screen. Follow the instructions on the screen
to preview the mailing labels. After pressing <Esc> from the
"View Report" window you will be returned to the "Reports
Definition Table" screen.
Print a Label
-------------
To print a mailing label for just one member, make sure your
printer is ready to print. At the "Member Processing" screen move
your cursor to the member you want to mail to, or use the "Find"
option to locate that member on the screen. Press <Enter> to get
to the "Choices" menu. Press <P> to select "Print a Label", and
press <Enter>. Follow the instructions on the screen to generate
a label. Once the selected member label has printed on your
printer you will be returned to the "Member Processing" screen.

Write a Label to File
---------------------
To write a mailing label for one member to a file, move your
cursor to the member you want to mail to, or use the "Find" option
to locate that member on the screen. Press <Enter> to get to the
"Choices" menu. Select "Write a Label to File", press <Enter>,
and follow the instructions on the screen. Once the labels have
been generated you will be returned to the "Member Processing"
screen.
Print Rolodex Card
------------------
To print a Rolodex card for just one member, make sure your
printer is ready to print. At the "Member Processing" screen move
your cursor to the member for whom you want to generate a Rolodex
card, or use the "Find" option to locate that member on the
screen. Press <Enter> to get to the "Choices" menu. Select
"Print Rolodex Card", and press <Enter>. Follow the instructions
on the screen to generate a card. Once the selected member
Rolodex card has printed on your printer you will be returned to
the "Member Processing" screen.
Transfer Member
---------------
You may have a member listed as belonging to one family, but now
you would like him to belong to another family. You may transfer
a member from one family to another within CMS-Gold.
To transfer a member to a another family; move your cursor to the
member you want to move to another family, or use the "Find"
option to locate that member on the screen. Press <Enter> to get
to the "Choices" menu. Press <T> to select "Transfer Member" and
press <Enter>. A picklist of family names to choose from will be
displayed (in our example we use the DOE and SMITH families):

Select the new family for this member, and press <Enter>. If you
know the family name, or the first few letters, just type them in,
and the family list will be re-positioned in the window to show
you the family members in the list with similar names. A
"Transfer Confirmation" window will be displayed:

Press <Y> to confirm the transfer of this member to the new
family, or press <N> if you don't want to transfer this member to
the new family. You will be returned to the "Member Processing"
screen.
Assign Envelopes
----------------
This option will allow you to manual add the Member's Envelope
number or allow you to have the system to generate the number by a
given starting number and increment by a selected number.
Exit the Members Choices Menu
-----------------------------
To exit the choices menu, press the <Esc> key, and the choice menu
will disappear.
Exit Member Processing
----------------------
Anywhere in the program, press <Esc> until you see the "Main
Menu". If you were changing information or adding new data
while in "Member Processing", and while still in the editing or
adding mode pressed <Esc>, all the changed or added information on
that screen will be lost.
